A business school in Abu Dhabi finishes a three day leadership programme for 40 managers on a Thursday afternoon. The participants expect their certificates soon, ideally before the weekend. Someone on the team opens the design file, types 40 names in English, then 40 names in Arabic, exports 40 PDFs and attaches them to 40 emails. One name is misspelled, two emails bounce, and a week later an HR department calls to ask whether one of the certificates is real.

None of this is hard. It is just slow, and it lands on the same person after every course. Digital training certificates take most of these steps off that person's desk.

What a training certificate needs to do

For a training centre or business school in the region, a certificate usually has four jobs:

  1. Reach the participant quickly, as a PDF they can save, print and forward.
  2. Show who issued it, with your logo and colours rather than a generic design.
  3. Be easy to check, so an employer or client can confirm it without calling you.
  4. Read well in Arabic and English, since many participants, managers and clients read one or the other first.

Issue a whole course at once

In Diplino you upload the course as a CSV file, the kind of list you can export from a spreadsheet or a registration system, and every participant gets an email with their certificate as a PDF. Forty participants or four hundred, it is the same step.

A few details matter more than they sound:

  • No fee per certificate. A large cohort does not add a charge for each certificate you issue.
  • Fixing a typo costs nothing. If a name is misspelled, you correct it and resend. That does not use a certificate.
  • Reminders go out by themselves. Participants who have not opened their certificate get an automatic reminder.
  • You see what bounced. If an email address was wrong, you can see which emails bounced and fix them.

Your brand on every certificate

Participants pass their certificates on to employers and clients, so the certificate carries your name further than the course itself. Diplino puts your own logo and colours on every certificate, on every plan, including Free. There are three templates to start from: Classic, Modern and Clean portrait.

A QR code and a verification page

Every certificate has its own public verification page and QR code, and is digitally signed. Anyone can scan the code or open the link and check the certificate without creating an account. For an HR team in Riyadh or a client in Doha, the question "is this real?" goes from a phone call to a few seconds.

The verification page shows what you, the issuer, issued. It is not the same as an attestation by an authority, which is covered further down.

Arabic and English side by side

You can add a second language on a template, on a course or when you issue. The participant's name and the course name can be written in each language, and the fixed text, such as the heading, the labels and the signer's role, appears in both. Arabic sits on the right and reads right to left; the other language sits on the left. Numbers use Western digits, and dates use Arabic month names in the Arabic column. The verification page shows both languages, while the email and the share image use the first.

Beyond the certificate itself, Diplino works in 13 languages, Arabic and English among them, across the app, the website, the certificates and the emails. Bilingual certificates are included on every plan and work in all three templates. You can try one on the bilingual certificates page and download a free sample, no sign-up needed.

What a first course looks like in practice

For a training team setting this up for the first time, the steps are short:

  1. Pick a template and add your logo and colours. You do this once, and every later course uses it.
  2. Choose a second language if you want Arabic and English on the certificate. The fixed text, such as the heading and the labels, comes in both languages automatically.
  3. Export the participant list from your spreadsheet or registration system as a CSV file, with names and email addresses, plus a column for the name in Arabic if you use one.
  4. Upload and send. Every participant gets an email with their certificate as a PDF.
  5. Check the results a day later. Fix any bounced addresses, correct any misspelled names and resend. Participants who have not opened their certificate get a reminder without you doing anything.

The next course starts at step 3.

If you are a KHDA licensed institute in Dubai

KHDA has a service that lets training institutes request attestation of certificates for registered trainees enrolled in KHDA authorised training courses at private training institutes in Dubai (KHDA, Attest Training Institute Certificate). Diplino is not connected to KHDA or any other authority and does not replace that step. If your courses fall under it, follow KHDA's process for those certificates.

Data hosted in the EU

Certificate data is hosted in the EU, in Stockholm, and a data processing agreement (DPA) is included on every plan. If a corporate client asks where participant data is stored, you have a straight answer.

Plans

The Free plan includes 10 certificates, enough to try the whole flow with a small group. Paid plans start at 12 EUR a month billed annually. Your logo, your colours and bilingual certificates are included on every plan.
